This Privacy and Cookies Policy explains how Find Run Clubs processes personal data when you use Find Run Clubs, available at https://findrunclubs.app, including our website, run club profiles, run listings, search pages, maps, account features, forms, partner tools and related services (the "Platform").
It also explains how we use cookies and similar technologies. Please read it together with our Terms of Service.
1. Who Is Responsible for Your Data
The controller responsible for the Platform is Find Run Clubs.

2. Personal Data We Collect
We collect personal data that you provide, data created when you use the Platform and data received from third-party services where relevant.
Depending on how you use the Platform, this may include:
- account data, such as name, username, email address, password hash, login method, authentication identifiers and account settings;
- profile and preference data, such as followed run clubs, saved preferences, language, location searches and interaction history;
- run club and partner data, such as club name, description, logo, photos, city, country, social links, website, contact details, manager access, team roles and submitted updates;
- run and event data, such as run title, date, time, meeting point, coordinates, distance, pace, training type, captains, registration links, after-run details and cancellation information;
- form and communication data, such as run club suggestions, contact requests, support messages, email content and related metadata;
- technical and usage data, such as IP address, device type, browser, operating system, page views, search queries, referring URLs, approximate location derived from your request, cookies, consent choices and server logs;
- third-party data, such as information received from login providers, map providers, social platforms, analytics tools or public sources when they are connected to Platform functionality.
We do not intentionally collect special category data, such as health data, unless you choose to include it in content or communications. Please avoid sending sensitive personal data unless it is strictly necessary.
3. How We Use Personal Data
We use personal data to:
- operate the Platform and provide public pages, search, maps, accounts and partner tools;
- create, display, verify, moderate and update run club profiles and run listings;
- process logins, registrations, authentication, follow actions, forms and support requests;
- show relevant locations, language versions, search results and run information;
- protect the Platform, users, run clubs and partners against abuse, spam, fraud, security incidents and unlawful activity;
- communicate with you about accounts, listings, partner access, service messages, legal updates and operational changes;
- understand usage, fix errors, improve performance, develop features and measure the effectiveness of the Platform;
- comply with legal obligations, enforce our terms and protect our rights or the rights of others.
4. Legal Bases for Processing
Where the GDPR or similar data protection laws apply, we rely on the following legal bases:
- contract, when processing is necessary to provide account features, partner tools, requested services or the Platform under our Terms;
- legitimate interests, when we operate, secure, improve and promote the Platform, maintain accurate listings, prevent misuse, respond to requests and protect users, run clubs and partners;

If you follow an external link, use a third-party login, open a map, register for a run through another website or interact with a social platform, that third party may process your data under its own terms and privacy policy.

- service providers that host, maintain, secure, support, analyse or operate the Platform;
- run clubs, organizers or partners where needed to manage listings, access, registrations, corrections or user requests;
- mapping, analytics, email, authentication, anti-spam and security providers;
- professional advisers, insurers, authorities, courts or regulators where necessary for legal, compliance, security or dispute purposes;
- another organization if we are involved in a merger, acquisition, restructuring or transfer of the Platform, subject to appropriate safeguards.
We do not sell your personal data.
8. International Transfers
Some providers may process data outside your country or outside the European Economic Area.
Where required, we rely on appropriate safeguards such as adequacy decisions, standard contractual clauses or other lawful transfer mechanisms.
9. How Long We Keep Data

- account data is kept while your account is active and for a reasonable period after closure where needed for security, legal or operational reasons;
- public listing content is kept while the listing is published or needed for archive, moderation, correction or legal purposes;
- form submissions and support messages are kept while needed to answer, administer and evidence the request;
- technical logs are usually kept for a limited period for security, debugging and operational integrity;
- consent records, legal records and compliance records may be kept for longer where required or defensible.
Backups may retain data for a limited period until overwritten under normal backup cycles.
10. Your Rights
Depending on your location and applicable law, you may have the right to:
- request access to your personal data;
- request correction of inaccurate or incomplete data;
- request deletion of your data;
- request restriction of processing;
- object to processing based on legitimate interests;
- request portability of data you provided to us;
- withdraw consent where processing is based on consent;
